Privacy Policy
1. Scope
This Privacy Policy explains how Orcabite ("Orcabite," "we," "us," or "our") collects, uses, and shares information through orcabite.com and Sendoff (the "Services").
2. Who We Are
Orcabite refers to Orcabite LLC, a limited liability company based in Chicago, Illinois. You can reach us at solutions@orcabite.com with any privacy questions or requests.
3. Information We Collect
Homepage (orcabite.com). If you submit our contact form, we collect the information you provide (such as your name, email, and message). No account is created and no data is collected from you otherwise.
Sendoff — account and profile. When you sign in with Google, we receive your name, email address, and profile picture from Google. We also store the workouts, training plans, groups, and other content you create in the app, and basic usage information needed to operate the Services (such as device push-notification tokens).
Sendoff — Google Calendar. If you use the Google Calendar sync feature, Sendoff requests access to your Google Calendar to create, read, and update events on your behalf when you schedule training plan workouts. We only access Calendar data in connection with this feature and do not use it for any other purpose.
Sendoff — billing. Subscription payments are handled by Stripe. Orcabite receives your subscription status and billing history but does not receive or store your full card number.
Sendoff — training and fitness details. To power personalized stats, you may optionally provide details such as your birthday, gender, weight, and self-reported swim pace. We use this information to estimate personalized training zones, calorie estimates, and a training-load score shown to you in the app. Providing these details is optional and you control them in Settings.
Sendoff Teams — Swimmer Data. Coaches on the Teams plan can enter records for swimmers on their roster, including name, contact information (which may include the swimmer's and/or a parent or guardian's email address and phone number, and a preference for which of those we should use to contact them), personal bests, and attendance history ("Swimmer Data"). Swimmer Data may include information about minors. Swimmers do not have accounts, do not sign in, and do not provide this information to Orcabite directly — it is entered by the coach managing the roster. See Section 5 below.
4. How We Use Information
- To create and operate your account and provide the features of the Services;
- To process subscription payments and manage billing;
- To sync training plan workouts to your Google Calendar, if you enable that feature;
- To send push notifications you have opted into (such as friend requests or group activity);
- To deliver practice-update emails that a Teams coach sends to swimmers and/or parents on their roster, according to each swimmer's contact preference;
- To respond to support requests and contact form submissions; and
- To maintain the security and reliability of the Services.
We do not use third-party advertising trackers or analytics tools, and we do not sell your information.
5. Swimmer Data and Coach Responsibility
For the Teams plan, Orcabite acts as a data processor on behalf of the coach who enters Swimmer Data — we store and display that information so the coach can manage their roster, attendance, and personal bests. The coach, not Orcabite, is responsible for ensuring they have the authority and any consent required under their team, club, or organization's own policies — including consent from a parent or guardian where the swimmer is a minor — before entering that swimmer's information into the Services.
Orcabite does not knowingly collect personal information directly from children through account creation, since swimmers are not account holders and never interact with the Services themselves.
If you are a parent or guardian and believe your child's information has been entered into the Services and you would like it removed, contact us at solutions@orcabite.com. We will work with the relevant coach or team to address your request, and may suspend or delete the record while we investigate.
6. Children's Privacy (Account Holders)
Individual accounts and Teams coach accounts require the account holder to be at least 13 years old. We do not knowingly allow anyone under 13 to create an account.
7. Who We Share Information With
We share information with the following third parties, only as needed to operate the Services:
- Google — for sign-in and Calendar sync;
- Firebase (Google) — for delivering push notifications;
- Resend — for delivering practice-update emails that Teams coaches send to swimmers and/or parents;
- Stripe — for processing subscription payments; and
- Linode — our hosting provider, which stores our servers and database.
We do not sell your information to third parties.
8. Data Retention and Deletion
We retain your account information and content for as long as your account is active. If you delete your account, we delete or anonymize your personal information within a reasonable time, except where we are required to retain it (for example, billing records). Swimmer Data is retained until the coach removes the swimmer from their roster or the team is deleted.
9. Your Rights and Choices
You can access and edit most of your information directly within the Services. Regardless of where you live, you may ask us to:
- Know what personal information we hold about you and how we use it;
- Correct information that is inaccurate or incomplete;
- Delete your account and the personal information associated with it, subject to Section 8;
- Obtain a copy of the information you provided to us; and
- Opt out of push notifications or other optional communications.
Send requests to solutions@orcabite.com. We aim to respond within 30 days, and will tell you if we need longer. We may need to verify your identity — usually by confirming control of the email address on the account — before acting on a request. We will not deny you service, charge you a different price, or provide a lower quality of service because you exercised any of these rights. If we decline a request, we will explain why, and you may reply to that message to ask us to reconsider.
If you are a swimmer or parent/guardian receiving practice-update emails from a coach, each email includes a link to manage or opt out of those communications directly, without needing an account. For requests about a swimmer's record entered by a coach, see Section 5.
10. Data Security
We use industry-standard measures, including encrypted connections (HTTPS) and access controls, to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Data Location and Intended Audience
Our servers and database are hosted with Linode in the United States. The Services are intended for users in the United States. We do not offer them to, or target them at, users in the European Economic Area or the United Kingdom, and we do not currently provide the data-subject rights or international transfer mechanisms those jurisdictions require. If you access the Services from outside the United States, you do so on your own initiative, and your information will be transferred to and processed in the United States.
12. Cookies
We use a functional session cookie to keep you signed in. We do not use advertising or analytics cookies.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of the Services after a change takes effect constitutes acceptance of the updated policy.
